Our Volunteers
We truly appreciate our volunteers, as we could not achieve what we do without them. The ElitSwim Club is a family-based community that welcomes all members of our athletes’ families, friends, and other members of ElitSwim. From home meets to team dinners and away meets, our volunteers generously dedicate their time and endless effort to carry the ElitSwim tradition of excellence.
ElitSwim does not impose the extensive volunteer time commitments that other teams require. We value your time on both a personal and family level.

Team Structure for Volunteering
Lead Volunteers
Committee Members — Araceli Garcia Ibanez, Swetapadma Padhy, Caroline Villena
These parents are the main points of contact for organization and questions during swim meets. Approach them with questions and assistance on volunteering duties.
Volunteer Functions
If your child is registered for a swim meet, your family is required to fill 1 job role at that meet.
- Timers — Responsible for timing swimmers’ races during meets. All timers are shown exactly what to do before each session.
- Head Timer — Works with timers, serves as a liaison to meet management, and provides backup timing when needed.
- Team Tent Transport — Ensures team tents are set up and taken down at meets.
- Tent Pickup — Volunteers collect tents from DVAC and set them up at meets by 7am.
- Tent Return — Volunteers take down tents and return them to DVAC storage during practice.
- Meet Volunteer Coordinator — Tracks attendance for volunteer slots. Ensures all shifts are covered by 9am. If a parent is missing, they will call to confirm arrival or verify a substitute. Note: Coordinators are not responsible for finding substitutes.
Officials
No meet can function without stroke and turn officials, a meet referee, and a starter. These roles require training, which is provided for those interested. All teams must provide officials at each meet they attend.

Fundraising
The ElitSwim Club is a 501(c)(3) non-profit organization that relies on tuition and fundraising for operational costs, equipment, facility rentals, and quality coaching. Your tax-deductible contributions directly support our athletes. Your support is essential to our success. To get involved, please contact Paschalis Ntatsos directly.
Important Notes
- No-Shows / Late Arrivals: Families who miss their assigned shift without proper coverage will be subject to a $100 fine.
- Check-In: Please report to the coaches’ tent at the start of your shift to confirm your spot. This ensures all positions are covered.
- Shift Trade-Offs: Arrive a few minutes before your shift to allow smooth transitions. If your replacement has not yet arrived, please stay until someone relieves you. If you must leave, notify other parents, coaches, and the volunteer coordinator.
- Finding Substitutes: If you cannot make your shift, you must find a substitute—even if your swimmer does not attend the meet. Substitutes must check in and sign in under your name.
