Leave of Absence / Account Suspension

Notice of Absence

Members/Swimmers may submit a Notice of Absence for up to three consecutive months, reducing your billing at a rate of $90/month for up to three months while your swimmer is away. After the three-month period is up, your account will resume billing at regular monthly dues. Leave of absences will begin at the start of a billing cycle and end at the end of a billing cycle. (ie first and last of the month).

Until the Parent Board receives and acknowledges a written request for leave, monthly coaching fees will continue to be charged, and the family will be responsible for paying those fees, whether or not the swimmer is attending practice.

The maintenance fee of $90/month will be charged during any month of voluntary leave, and the swimmer's place on the team will be held for them. All maintenance fees must be paid in full before a swimmer on leave will be allowed to return to active status.

If a swimmer does not return to active status at the end of three consecutive months of leave, the team reserves the right to cancel the swimmer's membership and offer his/her place on the team to a new member.

Only one leave of absence is permitted during the year. You must be registered for the entire swim year, August–August, in order to be eligible for a leave of absence. Swimmers who register after the August/September registration season will not be eligible for a leave of absence.

Leaves of absence must be requested in writing using the Contact Us page on the team's website. Requests must be submitted by the 15th of the month prior to the month the absence will begin. Volunteer hours will not be prorated during the absence. You will need to complete the full hours assigned to your family account to allow the Parent Board time to process the change.

Account Suspension or Termination

Suspension or Termination of your account must be requested in writing using the Contact Us page on the team's website. Requests must be submitted by the 15th of the month prior to the month the suspension should take place.

(e.x. A request submitted on May 12 will have the account suspended on June 1.)

(e.x. A request submitted on May 17 will have the account suspended on July 1.)

When an account is terminated, you will lose all swimming, dryland, and swim meet privileges. To reinstate your account and re-register, you will have to go through the same process as creating a new account and pay the new registration fee.

Termination of Membership with ElitSwim Club must be given in writing to Membership by the 15th of the month in order to avoid billing for the following month. If proper on-time notice is not given, the member's account will be billed, and no refunds will be given.

High School Aquatics Seasonal Layoffs

High School Swimmers will only be allowed one layoff per year only if they have been registered for the entire swim season beginning in August of each year. Layoffs for high school sports will not be allowed for swimmers who register after the August registration season. If swimmers attend their regular high school team practices during high school aquatics seasons (water polo and/or swimming), they may be laid off from ELIT during one of these seasons. Layoffs for high school aquatics seasons are not subject to a monthly maintenance fee.

To qualify for a high school layoff, swimmers must practice full-time with their high school team and not with ELIT. If swimmers attend regular ELIT practices, they are considered full-time ELIT swimmers and must pay regular monthly coaching dues.

The designated months of layoff for water polo season are September and October. The designated months of layoff for swim season are March, April, and May. (Because high school swim season typically spans half of February and half of May, we charge for only one of those months.) ELIT fees are not charged during these months if the swimmer is not participating in ELIT practices.

It is each family's responsibility to notify Management using the Contact Us page if a swimmer will be laying off for high school aquatics. In the absence of notification, monthly dues will continue to be processed and will not be refunded, whether or not the swimmer is attending ELIT practices.

At the end of each high school season (late October and late May), all high school swimmers on layoff will be automatically returned to active status on the ELIT, and monthly billing will be recommenced. If a swimmer does not intend to return to the Club at the end of the water polo or swim season, the process must follow the Termination of Membership guidelines.
